This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Service.

By accessing or using Call-Analyser, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this policy, please do not use our Service.

1. Information We Collect

1.1 Account Information

When you create an account, we collect:

  • Name and email address provided during registration
  • Password (stored as a cryptographic hash — we never store plaintext passwords)

  • Organization-level configuration (e.g., notification preferences, playbook settings)

1.4 Call Data

When you submit or sync sales call data for analysis, we collect:

  • Transcripts — the text content of your sales calls
  • Call metadata — date, duration, source platform, and call identifiers
  • Analysis results — AI-generated scores, summaries, coaching tips, and evaluation data
  • Participant information — sales representative and customer names as they appear in transcripts

1.5 Playbook Content

If you upload a sales playbook, we collect and process:

  • The full content of your playbook documents
  • Chunked and embedded representations of your playbook used for retrieval-augmented generation (RAG)

1.6 Payment Information

When you make a purchase or subscribe to a paid plan:

  • Payment processing is handled entirely by Stripe. We do not store your full credit card number, CVV, or other sensitive payment card details on our servers.
  • We receive and store your Stripe customer ID, subscription status, billing model, and transaction history from Stripe.

1.7 Usage and Analytics Data

We may collect:

  • Pages visited, features used, and interactions within the Service
  • Browser type, device information, operating system, and screen resolution
  • Referring URLs and general geographic location (derived from IP address)

2. How We Use Your Information

We use the information we collect to:

  • Provide and operate the Service — manage your account, authenticate sessions, and deliver core functionality
  • Perform AI-powered call analysis — generate embeddings of your transcripts using OpenAI, retrieve relevant playbook content via vector similarity, and analyze calls using Google Gemini to produce scores, summaries, and coaching tips
  • Send notifications — deliver analysis results and daily digests via Slack, Discord, or email, based on your configured preferences
  • Process payments — manage billing, subscriptions, and invoicing through Stripe
  • Improve the Service — analyze usage patterns to enhance features, fix bugs, and optimize performance
  • Communicate with you — send account-related emails, respond to support requests, and notify you of policy changes
  • Ensure security — detect and prevent fraud, abuse, and unauthorized access

3. Third-Party Services

We share data with or rely on the following third-party service providers to operate Call-Analyser:

Call-Analyser uses the following cookies:

5. Data Retention

  • Account data is retained for as long as your account is active. When you delete your account, we delete your personal information within 30 days, except where retention is required by law.
  • Call data and analysis results are retained for as long as your organization exists. When an organization is deleted, all associated call data, transcripts, analysis results, and playbook content are permanently deleted.
  • Session data expires automatically after 30 days of inactivity.
  • Payment records may be retained as required for accounting, tax, and legal obligations.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including:

  • Password hashing — passwords are stored using industry-standard cryptographic hashing
  • HTTPS encryption — all data in transit is encrypted via TLS
  • HttpOnly session cookies — session tokens are not accessible to client-side JavaScript
  • Rate limiting — API and webhook endpoints are rate-limited to prevent abuse
  • Personal webhook keys — each member has a unique, rotatable key for webhook integrations
  • Access controls — role-based permissions within organizations

While we strive to use commercially acceptable means to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

7. Your Privacy Rights

7.1 Rights Under PIPEDA (Canada)

As a Canadian resident, you have the right to:
